How to Check PF Balance and Download Your EPF Passbook

The safest way to check your PF record is to start from EPFO's official website and use its current member services. Your payslip and EPF passbook serve different purposes: one records a salary deduction, while the other helps you inspect contributions and account entries. Keep both when checking a missing month.

Start from the official service

Open EPFO's website and follow the employee or member-service links for passbook access. Use your own UAN credentials and complete the site's authentication directly. Avoid passbook links received from unverified callers, and never give a person your password or OTP so they can download it for you.

An official PIB announcement describes Passbook Lite within the member portal and access to Annexure K for transfer transparency. Interface labels may change, so use the service displayed on the official portal rather than treating an old screenshot as a permanent navigation guide.

Read the record before downloading

Confirm that the member ID belongs to the employer you want to check. Review the wage month, employee contribution, employer entries and any transfer information. If you have changed jobs, inspect the relevant member IDs rather than assuming one visible balance represents every employment record. Download or print the available statement and retain the date of access.

Why a record may look different

An exempted provident-fund trust may provide its own statement rather than the same passbook view. An incomplete transfer or a recent contribution can also need investigation. A missing entry should prompt a check; it is not sufficient evidence by itself to accuse an employer of withholding money.

Ask payroll for the wage month and contribution submission details. Compare them with your slip and portal record. If a correction or transfer is pending, keep its reference number. For an unresolved issue, follow the grievance or help route linked from EPFO's official site.

Protect the downloaded file

A passbook can contain personal and employment details. Store it securely, share only what a legitimate process requires and avoid posting a full screenshot in a public WhatsApp group. Redact identifiers before asking a general question online.

For a job change, read the PF transfer guide next. A balance enquiry confirms what you can see today; it does not by itself establish whether a transfer, withdrawal or pension-related claim is appropriate.

How to interpret a passbook entry

Start with the member ID and establishment. Then identify the wage month, employee contribution, employer contribution or allocation, and any transfer entries. The date you open the page is not the wage month. A bank salary credit and a provident-fund deposit also follow different records, so reconcile them by period rather than assuming they must have identical transaction dates.

If you worked for multiple employers, make a list of the member IDs you expect to see. Check whether a previous balance has been transferred or remains under another record. Preserve an earlier download when following a correction so you can identify exactly what changed.

Troubleshooting without exposing your records

If authentication fails, use the official recovery or support process linked by EPFO. Confirm that you are on the legitimate site before entering credentials. Do not install a screen-sharing tool at an unsolicited caller's request or allow a caller to operate your member account.

If a month is missing, ask payroll for the contribution submission information and keep the response. If a transfer looks incomplete, compare the claim reference and relevant transfer document. If your employer operates an exempted trust, ask where its member statement is supplied instead of assuming an unavailable standard passbook means a zero balance.

A useful reconciliation sheet

Create columns for wage month, payslip employee deduction, expected employer contribution, visible member entry, transfer status and query reference. Fill in only the periods you have evidence for. An unmatched line is a question to investigate; a difference in total balance alone may also involve interest, transfers or timing.

Download statements only to devices you trust. A redacted screenshot can illustrate a general problem, but a public post should not reveal your UAN, full identity details, account numbers or claim credentials. Keep the original files for the employer or official grievance process. This gives you a clearer and safer basis for resolving a record issue than forwarding an unredacted passbook through several informal groups.
