The Site Support Assistant is a crucial role responsible for the timely delivery of delegated tasks and ongoing support to the Global Investigator Support Department. The primary focus is to assist in workflow management and maintain documentation and communications with all parties involved.

Key Responsibilities:

  1. Patient Safety:
    • Ensure patient safety is the top priority in day-to-day operations.
    • Promptly escalate patient safety issues for resolution.
    • Manage and organize timely contact with investigator sites or their representatives via email or other communication methods as per assigned workflow.
  2. Administrative Support:
    • Support Global Investigator Service (GIS) and GIS coordinators with administrative tasks requested by investigator sites.
    • Prepare and deliver airway bills and shipping documents as requested.
    • Follow up on samples delivered in error until resolution.
    • Communicate with investigator sites regarding Specimen Pending Arrival Reports and request shipping.
    • Assist with login issues and related questions for the Investigator Portal or Sponsor Portal.
    • Compile information for communication to investigator sites when new policies or procedures are implemented.
  3. Query Resolution:
    • Search and update the database with information from investigator sites for follow-up attempts.
    • Escalate information from investigator sites to assigned global coordinators as needed.
    • Resolve simple to moderate hold issues generated in the system or assigned by the global team.
    • Investigate and answer project-related questions via email or other communication methods.
  4. Compliance and Documentation:
    • Document all service failures, work with the global team to resolve, and escalate to management when appropriate resolution is incomplete.
    • Manage training folders and update documentation as needed.
    • Review Standard Operating Procedures and other documents in a timely manner.
    • Track and report workflow data as determined by management within agreed timelines.
  5. Continuous Learning:
    • Complete onboarding training and mandatory company corporate and departmental trainings.
    • Attend mandatory meetings and participate in ongoing training initiatives regarding process and system changes or updates.
  6. Additional Duties:
    • Perform all other duties as assigned.
