Position: Document Specialist II
The Document Specialist II is responsible for maintaining and archiving documents produced by the CPS Project Management Team. The role involves organizing, gathering, scanning, filing, tracking, reviewing, reconciling, and archiving project documents in electronic and paper formats.
The position also supports Trial Master File (TMF) activities and requires interaction with project teams to obtain documents, resolve missing documentation, and address document quality issues.
Key Responsibilities
- Maintain standardized filing structures for study-related and departmental documents.
- Create and maintain document and file-related tracking forms and spreadsheets.
- Gather, organize, scan, and ship project documentation as required.
- Assist with the review and finalization of the TMF Plan and Index.
- Support project setup activities related to TMF.
- Assist with TMF closeout processes.
- Maintain the TMF in Fortrea and client systems.
- Retrieve, file, and upload documents according to project milestones, timelines, SOPs, policies, system requirements, and client requirements.
- Work directly with project teams to secure documents for the TMF.
- Follow up on missing documents when required.
- Monitor and perform document quality checks.
- Identify, track, and follow up on document quality issues.
- Support TMF reconciliation as part of the quality control process.
- Generate copies of project data and other project information for archival or client delivery.
- Lead and perform archiving activities for paper and electronic media.
- Provide metric data to departmental management teams when required.
- Perform departmental and project administrative tasks as assigned.
- Train and mentor new Document Specialists.
- Develop, review, and revise Document Specialist training materials.
- Serve as a TMF Subject Matter Expert.
- Train document specialists and other team members on eTMF systems and processes.
Eligibility & Qualifications
- BS or equivalent in a scientific field is preferred.
- Fortrea may consider relevant and equivalent experience in lieu of educational requirements.
- Minimum 2 years of relevant experience in TMF activities.
- Strong written and verbal communication skills in English.
- English speaking, reading, and writing skills are required.
