If you have at least 2 years of hands-on experience retrieving medical records through ROI portals (ChartSwap, CIOX, MRO, Sharecare, etc.), love phone follow-ups, and know how to push through delays while staying 100% HIPAA compliant — this high-impact role is perfect for you.
Key Responsibilities
- Prepare and submit accurate medical records requests on behalf of U.S. law firms
- Upload/fax authorizations and follow up via phone, email, and ROI portals
- Persistently follow up with hospitals, clinics, and facilities to expedite records
- Handle pushback professionally and escalate when necessary
- Update case management systems with detailed status notes
- Review received records for completeness and organize for legal teams
- Maintain strict HIPAA compliance and data security at all times
Qualifications & Requirements
- Minimum 2 years of medical records retrieval experience (preferably supporting law firms or mass tort cases)
- Expert knowledge of ROI platforms: ChartSwap, MRO, CIOX, Sharecare, HealthPort, etc.
- Excellent English communication — confident, assertive, and professional on calls
- Strong organizational skills and ability to manage 100+ active requests
- Proficient in Google Sheets/Excel, case management tools, and document tracking
- Dedicated high-speed internet (20 Mbps+), noise-canceling headset, fast computer, and power backup
- Ability to work full-time U.S. hours (EST or PST) without conflicts
- No subcontracting allowed due to HIPAA regulations
