Job Description

  • Coordinate, oversee, and complete functions related to assigned trials activities as detailed on the task matrix.
  • Perform departmental, internal, country, and investigator file reviews as assigned, documenting findings in the appropriate system.
  • Ensure that allocated tasks are executed on time, within budget, and to a high-quality standard. Proactively communicate any risks to project leads and line managers as necessary.
  • Support the maintenance of study-specific documentation and provide global support with specific systems, tools, and trackers. This includes managing study team lists, tracking project-specific training requirements, managing system access for organization/vendor/clients, and tracking project-level activity plans.
  • Ensure the Trial Master File (TMF) is up to date by following file review schedules and documenting findings in the appropriate system.
  • Provide system support, including utilizing tools such as GoBalto and managing electronic TMFs (eTMFs).
  • Assist with Risk-Based Monitoring (RBM) activities as needed.
  • Perform administrative tasks related to assigned trials, including processing documents sent to clients, conducting TMF reviews, managing mass mailings and communications, and providing documents and reports to internal team members.
  • Support the scheduling and organization of client and/or internal meetings, including the completion of related meeting minutes.
  • Review and supervise local regulatory documents, ensuring compliance with relevant regulations.
  • Transmit documents to clients and centralized Institutional Review Boards (IRBs)/Independent Ethics Committees (IECs) as required.
  • Bachelor’s degree in a relevant field (e.g., life sciences, healthcare, clinical research).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a team environment and independently when necessary.
  • Proficiency in Microsoft Office Suite and familiarity with clinical trial management systems preferred.
