About the Role

The Investigator Grants Specialist will support Project Management and Clinical Operations teams in handling investigator payment processes, developing investigator grants, and managing site budget templates using industry-standard systems such as Grant Plan and CTMS. The specialist ensures accurate, timely, and compliant financial operations across clinical sites.


Key Responsibilities

Investigator Payment Activities

  • Review, update, and track all payments in CTMS accurately.
  • Route correspondence and assign queries to appropriate team members promptly.
  • Escalate payment delays and issues as needed.
  • Validate payments against CTMS visit data to ensure timely and accurate site payments.
  • Communicate effectively with Project Managers regarding payment inquiries.
  • Support clinical staff with contract-based investigator payments.
  • Maintain schedules for patient visit payments and process payments accordingly.
  • Review site payment reports and ensure error-free processing.
  • Prepare Investigator Payment Reports for study status meetings.
  • Ensure all assigned studies meet quality, compliance, and audit-readiness standards.
  • Create and maintain SVT (Subject Visit Tracking) templates for each site.

Investigator Grants Activities

  • Develop investigator grants using standard industry systems.
  • Review study protocols and collaborate with Project Managers to deliver accurate grants.
  • Handle complex projects, including initial budget estimations.
  • Apply Fair Market Value (FMV) principles.
  • Coordinate with vendors on system-related issues and manage access lists.
  • Track finalized budgets and ensure required reporting.

Required Qualifications

  • Bachelor’s degree in Life Sciences or related field.
  • 12–36 months of experience in a CRO, pharmaceutical, or healthcare organization.
  • Hands-on experience in Investigator Payment Processes, CTMS/Veeva, and Grant Plan.
  • Understanding of subject visit tracking in CTMS.
  • Strong proficiency in MS Excel and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong analytical, problem-solving, interpersonal, and negotiation skills.
  • Highly organized and detail-oriented.

Preferred Profile

  • Prior background in clinical trials, CRO, pharmaceutical operations, or site management.
  • Ability to collaborate in cross-functional, global teams.
  • Strategic mindset with strong stakeholder management skills.
